Roster

The Roster (/roster) is the personnel register for the active project. It tracks every person on site: their sign-in status, role, team assignment, and location.


Roster Overview

The roster page shows a table of all registered persons with the following columns:

Signing In & Checking Out

Sign In

Click the Sign In button next to a person to record their arrival on site.
The sign-in timestamp is stored and the person's row is marked as signed in.

Check Out

Click the Check Out button to record their departure from site.
The check-out timestamp is stored.

Both actions are available to team members with appropriate permissions. If you cannot perform these actions, contact your project manager.


Updating Status & Location

Status

Click the status badge next to a person to assign a new status (e.g. On Duty, On Break, Dispatched, Stand-Down). Statuses are defined per organisation.

To remove a status, click the badge and select Clear Status.

Location

Click the location field to set or update a person's current location (e.g. Gate B, First Aid Post 2).


Adding a Person to the Roster

  1. Click Add Person (top-right of the Roster page).
  2. Fill in the person's details:
    • Name (required)
    • Role / Function
    • Team
    • Callsign (optional, used in communications)
    • Phone number (optional, used for Pushover)
  3. Click Save.

Bulk Import via CSV

Quickly populate the roster by importing from a CSV spreadsheet.

Download the import template

  1. Click Options → Download Import Template.
  2. Fill in the template spreadsheet — one person per row.
  3. Save as CSV.

Importing

  1. Click Options → Import CSV.
  2. Select your completed CSV file.
  3. Review the preview and confirm.

All persons in the CSV are added to the roster. Existing entries are not overwritten.


Exporting the Roster

Both options are available from Options → Export PDF and Options → Export CSV.


Bulk Update

To update multiple persons at once (e.g. move a group to a new team or clear all statuses after a shift change):

  1. Click Options → Bulk Update.
  2. Select the persons to update.
  3. Choose the field to change and the new value.
  4. Confirm.

View-Only Access

Users without the Roster Admin role (or equivalent manage-roster permission) have view-only access to the roster. When this is the case, a blue information banner is displayed at the top of the page:

"You have view-only access to the roster. Contact a Roster Admin to make changes."

In view-only mode:

  • All person details and statuses are visible as normal.
  • Add, edit, import, bulk-update, and delete actions are hidden or disabled.
  • Sign-in and check-out buttons are still visible but cannot be activated.

To gain edit access, ask your project manager or organisation administrator to assign you the Roster Admin role.


Sending Pushover Notifications

From the roster you can send an instant push notification directly to a person's mobile device (requires Pushover to be configured for that person).

  1. Find the person in the roster.
  2. Click the Pushover icon or Send Alert next to their name.
  3. Edit the title and message if needed.
  4. Send.

This is useful for quickly alerting an individual team member without using the radio or making a call.
